activeCollab is a great web based collaboration & project management software. But it lacks in reports available to track your projects and team.

Reports Module for activeCollab is a breakthrough product that shows you insightful reports about project progress, work done by your team and system usage by your clients. Reports module is designed to show you stuff that matters and let you take action on it immediately. 

This quick tour demonstrates how Reports module works. Current activeCollab users can get upto speed with Reports module by watching this short 5 minute video.

Reports Module Introduction Video : Transcript

Hello and welcome to this tour of Reports Module for activeCollab. My name is Nirav Mehta and I am really excited about this new version. In fact, I was startled when I saw some of those new reports.

Let me show you why.

Project Reports: Burndown

When you click Reports icon in the top menu, you come to a screen similar to this.

The first chart shows you the number of Open Items in your projects over a period of time. An upward trend in this chart means you have work piling up.

As you can see, there was a big jump in Open Work Items last week, but it’s going downwards now.

The rate of completion is called “velocity” of the project. Reports module even forecasts a completion date for your project by studying the rate of additions and completions over the last few weeks.

In this case, my projects are “Never” going to complete. Which is actually a good sign when you are seeing the comprehensive “All Projects” report. It means you have enough work for a while ;-)

If you wanted to look at what’s happening in a particular project, pick the project from the list and click “Load”.

Project Summary

Here’s a summary of this project. Hours logged, % completed and even the next milestone due. You can click on the milestone to jump to it in activeCollab.

Hours & Work Summary

“Hours Chart” and “Work Summary Chart” give you further insights on project progress. You can see hours logged every week and total hours. If you are using Planning Module to estimate tasks, compare the estimated hours line with actual for a quick judgement about where you stand against your original estimates.

Work Summary chart is the category-wise breakup of items added and completed during the week. Sharp rise in the first bar tells us that a lot of work items were added or reopened that week. It’s good to see second bar rising as that will bring the burn down chart closer to ground!

Once you have looked at the overview and trends, you may be interested in the actual work going on right now. That’s what the “Most Active” list is about. On the other hand, Longest Open shows items that are either stuck or forgotten!

Take Action: Send a Reminder

If you are annoyed by a long pending item, just click on “Send Reminder” icon. This project’s leader will be in the “To” field already. You can include anybody else you want, type a message and send out the followup.

And hey, use this feature to send an occassional appreciation too! Your team will like it!

People Reports

Talking about the team, let’s see how Reports module can help you see what your people are accomplishing.

Clicking on the “People” button shows all users on the left with their activity scores. Activity score is a combination of items completed, items created and hours logged. It’s a good indication of productivity.

Average score does not consider people with zero activity and can be used as a benchmark to compare scores of different people.

Let me sort the list by activity score.

Person’s Stat Card

Clicking on a name will show a detailed stat card on right. Most important numbers are highlighted at top and others are given as a list here.

But what’s really useful in this card is the assignments and hours charts. Assignment chart shows items assigned to this person across projects. Too many projects, like this, are an indication that the person is spread out thin – or is a super hero taking care of the whole world. :-)

Hours chart tells you what the person is really doing – no matter what’s assigned to him! As you can see, I worked almost exclusively on Reports module for the week.

At the bottom, you can glance through this person’s recent work activity, time records and even upcoming work items.

You can filter this people list and also change the date range to view past performance.

Companies Reports

Let’s see “Companies” reports now.

This is the report that startled me! I am doing this demo with a test setup of activeCollab, but when I put it on our live server, I saw we have logged 61000 hours on activeCollab. We had tons of projects done and are going strong on active projects. I have never seen a more comprehensive summary of our project management data.

On this screen, I can even see all projects, their status, and their next milestone.

When I want to give a quick status report to my client, I can load all projects by the company and send a quick feedback to them. I can even see how much disk space they are using hmm!

Alright, that was a tour of the Reports module for you.

Like I mentioned, I was amazed with what I saw with these reports. I have now given access to see these reports even to my team members and they have started tracking their project’s velocity. People who were not using activeCollab for a year, have now started using it.
