activeCollab Feather – are you ready for it?

Should you switch to activeCollab Feather

If you noticed, activeCollab recently changed their website – and the whole product!!

If you are a long time user of activeCollab, the new activeCollab (code named “Feather”) looks extremely slick. It’s got flat and clean design. It feels “new age”.

“Feather” is quite snappy too. Pages load fast. Everything feels nice.

You’d want to upgrade to it immediately.

But wait… Is Feather ready for prime time? Are you ready for it?

activeCollab Feather is a project and task management solution built afresh. A lot of core concepts are same (just like any other project management system).. But a lot has changed – both under the hood and in the app.

So if you depend on activeCollab for your day to day work, and have many people using it, I suggest you take a step back before upgrading. Especially if you are hosting activeCollab on your own servers.


 

Here are somethings self hosted activeCollab customers must grasp fully before considering Feather.

Some features have changed (or don’t exist anymore)…

  • To make things simpler, activeCollab team dropped many features from Feather. And they are not coming back. So if you relied on these features from previous versions, you’d face difficulties.
  • For example: There is no way to manage user roles or create new roles and access control. There are only three roles – Owner, Member, Customer.
  • There are small terminology changes too – Milestones are now called Task Lists. But that shouldn’t be too difficult to get used to.
  • Still, all the core features are intact – and polished further. So for basic “getting things done” you shouldn’t have a problem.
  • But one must test and evaluate their own needs before switching…

Third Party modules won’t work

  • Third Party Modules don’t work with Feather. There is no way to install additional modules within activeCollab anymore.. Even if you use Self Hosted version of Feather.
  • The only “integration” and “extension” possibility is via HTTP REST API. Which means extensions have to be “external” apps. Much like any other SaaS web site. They can not integrate with activeCollab UI.
  • So if you rely on any functionality provided by a third party module (or if you have developed your own customizations) – you will have to let go of that before you can move to Feather. OR you stay with activeCollab 4 (or 3 or 2 – whatever you may be using).
  • Even the API has changed. So if you use any apps that integrate with activeCollab via API, they’d need to update as well.

You’re sharing a lot more data with activeCollab now…

Everything related to emails (incoming and outgoing) and search is now handled via a service called “Heartbeat”. This is a service activeCollab hosts themselves. So even if you use the self hosted version your data is going to activeCollab servers.

Yes, there is an “enterprise” option – where you can host the “Heartbeat” service on your own servers. But it’s still “coming soon”…

Try it first

  • Overall, activeCollab Feather is still a work in progress. A lot of things work, but try it first before upgrading.
  • We recommend you try out the online 30 days demo first. Familiarize yourself with the changes. Then evaluate if you want to upgrade.
  • If you want to upgrade, setup a staging environment, migrate your data, and fully test everything beforehand.
  • Your data is critical. So make sure you have backups. And that you get everything you need.

What will happen to Apps Magnet activeCollab modules?

We understand a lot of you rely on our activeCollab modules for your businesses. And while we want to bring all the features we added to activeCollab with our extensions, it’s simply not going to be possible because of the new architecture.

We are considering building web based services that talk to activeCollab via its API and add features.

But we need to know what you’d like us to do! So leave a comment and tell us if:

  1. Would you like us to help you migrate to Feather?
  2. Would you like us to continue supporting activeCollab 3 and 4 installations?
  3. What modules / features would you like us to build for activeCollab Feather?

    I am personally very disappointed with A51’s turn to the mass market with yet another SaaS. It may look sleek but most others do too, it does a lot less than others do already. So, if migrating to an SaaS, you may as well go with a more powerful SaaS PM system. I can name two similarly priced but 100%+ more powerful apps than aC5, but I won’t name them now as I’m not sure this is the right forum. Or is it? Personally, I’ll stay “behind” with aC4 through the end of the year while our company evaluates and tests the two front runners. Or we may ask a third party to simply develop the necessary hooks to properly link up our instance of aC4 to our online accounting system and stay with aC4 until it ages out.

    Incidentally, it may be time to widely distribute an open letter I wrote to A51 last November regarding A51’s (activeCollab’s) plans for “Feather” (aC5). My comments then are still relevant and my fears have materialized. Is there a way to post the letter on this blog?

    I’ll be sticking with AC4 until in stops serving my needs which I expect will be a very long time. I think they made a very bad call with the removal of 3rd party modules in my opinion.

    We have been using AC since 2008, and with the initial look we got from Feather ages ago, we were actually looking forward to it, even if it meant we most probably had to modify/update our custom plugins.

    Though, with the information that is available now, it is becoming clear that A51 is not going in a direction we need with the software.

    Most probably we will keep using aC4 for a good while before ending up switching to another software down the road.

    We’ll be sticking with AC4. I’m really disappointed at the direction they have taken with version 5. I’ve used AC for years—since about 2007. The best thing about it has always been the customization options. We could always make it work how we needed it to. A51 is taking much of that away it sounds like. Really disappointing.

    While I appreciate the lean approach of aC feather, the reduced feature set definitively doesn’t cut it for me. Now you say that it won’t even possible to compensate the shortcomings with third party apps?
    I’ll stay with aC4 for now – even if this has it’s issues, too and the UI is outdated …

    I think scrapping modules was a bad idea. Although I think they are even a cludge with AC4. But AC4 doesn’t do all we need, and so we need to use modules, so moving to AC5 is not an option as that also does not have those missing features.
    I am actually getting to the point that I think I may roll my own so I can include all the features I like from all the different PM systems. A combination of Paymo and AC would be perfect.

    We run the activeCollabTimer3, so if this is counted as a module plugin, we wouldn’t be able to consider it until the in-house AC timer was available.

      activeCollab’s own Timer app will continue to work with new versions of activeCollab. As a matter of fact, they are currently working on an update to Timer app for it to work with Feather.

        Here’s a screenshot of Active Collab Timer for the new Active Collab. We sent it to Apple for a review yesterday. Windows version is also ready, and we are wrapping it up (installer mainly) while Apple is reviewing Mac release.

        Hopefully this answers your question about future of Timer app :)

      PS: It works a bit differently. Instead of manually adding tasks to the list, you have a full list of your assignments with simple Start Timer option for each task. That has been a #1 feature request for the old Timer.

    Oh dear… we were looking forward to the UI refresh but now, it looks like the other features negate that. I’m pretty annoyed with the lack of third-party support and quite frankly if I’d known a year ago I probably wouldn’t have paid for self-hosted with all the bells and whistles.

    There are better products out there in the SaaS world. I find their toning down and lack of support for self-hosted rather dangerous, for them. Hopefully the ‘Enterprise’ solution will remedy some of these issues without incurring yet more cost.

    Time to hack AC4 and ditch support.

    We have been using AC for over 4 years and are quite happy with the product. It is disappointing to see you drop support for 3rd Party apps which is one of the things that made your product so attractive. If there were shortcomings third party apps would fill in the holes. I really think you should work with the most popular apps and make sure they are compatible with the new release, thanks for warning us for now we will stay put with C4

      While reading your comment, It seems you think that we are creator of activeCollab. But it’s not the case. We at Apps Magnet develop plugins on top of activeCollab.

    I think you’ll all need to wait it out. I have been beta testing AC5 for months. At first I was amazed by the look and feel. After a few weeks I realised there is not much to it. It’s become just a todo list with some extra features.

    But I understand where they are coming from and their motivation. I think it’s too early to say whether or not the direction they took was good. They have at least a clear vision.
    From what I understand after having multiple conversations, they now have been focussing on getting the core right and bug free. Now they released a stable version it’s time to implement and build on what they have.

    Before they started beta testing, I followed their blog about Feather and couldn’t wait to get into the beta testing program because in their blog they mentioned kanban boards and I got really excited because that was really the thing we missed in AC4.
    Great was my disappointment when I found out they hadn’t implemented this feature at all. So during beta I asked them several times when they would implement kanban to test because I was really looking forward to it. But it always came down to “We want to get this version stable and bug free.” Now that Feather is out for everyone I asked them again and I got the confirmation that kanban boards will be implemented in the coming months.

    Long story short. When you release an app you want to release it as soon as possible so you can get feedback as soon as possible. That is what they have done. Now they get a lot of feedback and suggestions and can build on a bug free foundation. We will need to give them time. You don’t build a killer app over night.

      You are spot on. Thank you for the awesome feedback during beta. I miss your comments, but understand that you are probably busy with the real work ?

      We’ll see to complete to column view as soon as possible (nobody wants to see it live more than I do), and hope to see you back on board when that feature lands.

    Utterly disappointed! Activecollab has become just as replaceable as every other task manager. It’s in no way a replacement for AC4. I’m even more disappointed as Activecollab really needed improvements and bug-fixes as well. The invoicing is hardly professional., etc. So I was really hoping that Feather would address the shortcomings with a more usable interface. But to just throw out all the pro-features is just ridiculous. So, as it’s unlikely that AC 4 will be continued, we’ll have to start looking again, after just one year of using it. I guess sooner or later they’ll realise that one should possibly listen to your customer base and not just go after every design trend. So, so sad!

      I believe aC 4 will continue for a while. The license is perpetual – so anyone can continue using their activeCollab as long as they want. As long as it works.

      Also, activeCollab is not throwing out all Pro features – but yes, there are a few, and many of them are critical to people who use them…

        I don’t. Version 4.2.21 was cloud-only, despite the fact they could do some hard work and FIX everything. All bug reports resolved, before any new features. Just too many issues dragging on.
        They will force people to update to aC5 and provide little-to-no support on v4.

        I was optimistic, but now just so so so uncertain. It is going to cost our business A LOT of money training and retraining staff for a new system / platform.

    This all sounds great, I can’t wait to install this and start to use it; I find the UI and UX on the current version really clunky and unfortunate, so this can be nothing but great if our users are able to use it more!

    Guess this is where they fall out of the game, clearly they don’t care about all their existing customers, I will show them also how I care about them, will not be upgrading, there are now better solutions out there, although I think we will rather develop our own custom software. Cheers AC, it was good, but your road has come to an end….

      activeCollab has realized that if they want to be big, they must target a wider audience. Wider audience requires simpler solutions.

      Their cloud offering must be working well for them and hence their continued focus on that.

      It’s not their fault – every business wants to grow.

      But yes, if they took better care of “early adopters” it would have been much better!

        The problem is, looking at the code, the biggest change as been the theme! (and theme-based files, then core files)… I’m unsure why the theme could not have been done separately (e.g. $49), retaining the old theme and just implement *better* functionality, or transfer to a new and improved framework etc.

    I imagine that Apps Magnet and other developers aren’t too happy with this complete change in their business model. One of the benefits of Open Source is the ability to tailor systems to meet individual needs. The hosted model takes all that away and hence, unless they find a whole new customer base, I think they’ll lose most of the aC community.
    For me, the AD/LDAP integration is critical for any system, particularly hosted solutions, but we use the workflow features that AppsMagnet developed and would have to change our whole business processes. The very limited custom fields module would be inadequate for those who need the Custom Fields 3rd party module, which we were considering. To bad, it was great while it lasted. Drupal, here I come!

    Maybe its time someone develops a whole new system? We all know what are the basic core requirements for a system. AC has been trying to make improvements (without much success i think) at the cost of core features and this is just another major step in that direction. We would personally like a new UI but not at the cost of core features. We still miss the user roles management that previous versions provided.

      Developing a whole new system is reinventing the wheel. Too many people are doing it – with little success. We built our own project management system even before switching to activeCollab.

        So it has to keep being done until someone does it right. So far I have yet to find a PM software that can do everything my company needs to do with it. It looked like AC would be the answer until I discovered all the stuff I was reading was about the old version and that AC5 was worthless.

    Here’s our take on this situation:

    What we don’t like:
    1. activeCollab going drastically away from what we feel gave it its success – customizability atop a strong core
    2. activeCollab cutting off “community” nature – removal of forums, lack of collaboration and credit to 3rd party developers

    What we like:
    1. Focus on simplifying core, speed improvements and UX
    2. Keeping self hosted versions alive

    What’s our position:
    1. We’ve lost more than 90% business over the last two years. Other third party developers have similar situation.
    2. We love and respect the activeCollab community. This is where we started, this is where we’ve made friends. We like the project management business. So we will do our best to keep this alive!

    What’s our opinion:
    Give activeCollab Feather some more time. Let it mature. There is always version 4 (3 or 2) to keep using.

    Good luck to AC and their team. As Nirav has stated, every business is in it to make money and along the way changes are made that will lose customers. Hopefully those changes acheive whatever the aim of the company is eg attract more customers, attract a different type of customer, make more money, be easier to maintain and hence more efficient, be ready to sell the product etc

    My personal viewpoint is that community, feedback and third part integrations are absolutely essential to a customer lead product or service. The route AC have taken does not appeal to me due to the loss of key features and as someone else has pointed out, makes their product very mainstream with all the other options out there. I have looked a many products over the last two years and have come across some pretty good ones so will be looking to move to one of those at some point. Stick with AC4 for now. If anyone wants to know the alternatives out there, happy to send them a list. Just email me.

    Thanks Nirav and team for your products and help and I do wish you the best with whatever venture you go down. Would appreciate it if I could get access to those last updates of your modules for AC4 as my subscription ran out a couple of months before and you will appreciate it is a little pointless to renew that now.     We’re also using AC now for years. But to see that AC is moving with Feather in the complete wrong direction makes us angry. A lot of needed features are missing, and dropping support for 3rd party plugins is a no-go. Also removing support and exchange via forum etc. is a bad move.

    We’ll stick now to AC4, but this is not future proof anymore. We saved all our data in AC, and an export to another pm tool is not possible. Or any suggestions?

    We LOVE your Reports Plus module, and bringing that type of functionality to Feather with an external API site that allows us to run reports, would be awesome! Either way, until that happens we are sticking with AC4 for pretty much that reason.

    same here, will eb staying with AC4 – Really disappointed with
    the direction AC5 has taken and of all features being lost – as one blogger put
    it – “my world has turned upside down”

    Here are a few to mention in order of project life,

    Creating new project – custom labels/fields – was useful – was able to create a
    “network directory path” – with 11 staff in the office, all can copy and paste to project location for files on the server network. etc.

    Milestones – Ability to create a group of pre-set milestones and task in
    master template – ours are sorted by phases of project life.

    Projects List – when you have over 100 Projects, having a visual of seeing all of them in a list organized by client is key – now you can see at a glance only 6 projects at best

    Notebooks and pages, ability to create “categories”, etc.
    record project data to have virtual notebook for all project data allowing easy
    recording/sorting/storing and retrieving of information. Now you can only
    create “notes”. We also had our company “project” where
    recorded all company policies, FAQ’s, how-to’s, memos, etc. AC5 has taken all that use away.

    To Do – simple to do list for projects – this is different from task and notes!

    Access controls for each user, client etc. – this was huge allowing ability to invite many collaborators and different permission levels.

    Adding people – cant just add them and list them as key players or involved individuals in project – you now actually have to invite them.

    Project Summary – home screen of project, yes you can see project recent activities, but no longer can see Date Created, Category,
    Progress, Client, Leader, Status, Budget, Label, Project Directory Location(custom label), Project Address(custom label), Logos (custom label, etc.

    Now AC5 is a simple to do list task management and no longer a project management application. Its funny how AC5 announcement speaks about the launch of Feather and the thought process behind it that they wanted to make it simple since when potential user
    look for a solution don’t spend more than a minute looking at an application
    and dismissing it if they don’t like it. That’s exactly what I would have done
    looking at Feather – there is nothing here to be a project management tool – it’s
    a simple to do list application – Google and Microsoft have better ones…

    Just bought the AC 5 instance for a new brand I am starting. Well… The UI is better. Thats about it. Ya.. the plugins and the community is what makes AC… AC.. Its like the app store of PM systems. Without it.. its going to be difficult to say the least.

    I didnt use 70% of the features that they got rid of so I think I see the logic in that or at least am part of the group of users that might have given them the data to make that decision.

    The issue I am going to have is with branding (one of the main reasons I used AC) and the lack of community integration.

    After trying it I am going to ask them to let me purchase a new lic of AC 4. If not, then I will have to look for a new solution for my new brand. Arg! Just when the relationship was going so well too. :-)

      You are not alone! I too feel that they could do better with a community around activeCollab. As it stands, they’ve killed it.

      There are a handful of other promising solutions. So kind of worried about activeCollab itself! Whether we like their current direction or not, their past contribution is immense.

        Agreed! They were very nice and sold me a copy of AC 4xx for my new install. Thanks IIija! As I see it its still one of the best solutions on the market because of the community driven aspect and its just built well.

        So that means I will be coming to you guys for the wordpress connector! :-)

    I have self-hosted active collab and I’ve installed AC5 and migrated data to test it. In order for it to work for me, I will need Time Reports Plus for the self hosted active collab 5 version. Are you in the process of updating Time Reports Plus so we can install it on active collab 5 and when do you think it will be ready?

      Chronograph and Time Reports is something we’ve thought of bringing to aC5. It’s on highest priority.

      Still not receiving encouraging response from activeCollab about API based integrations. So waiting…

      We’ve contacted activeCollab for building extensions using the new APIs, but haven’t had encouraging response yet. Still keeping fingers crossed.

    Correct me if I’m wrong, but I believe they did away with “Heartbeat” because it caused a ton of problems in the beta release. Search is now handled server side with Elasticsearch.

    So we set up a test instance of activeCollab 5, and migrated a copy of our data. The new version is very fast, pretty, and completely worthless to us without Time Reports Plus. With the inadequate reports we will need to either stick with activeCollab 4, or move to a new system.

    Any hope of porting Time Reports Plus to activeCollab 5, now that there is a self-hosted version?
